The four-hour service window is costing your HVAC company jobs
It’s 95°F, the board is full, and every customer got the same promise: “between 12 and 4.” So every customer plans nothing, waits by the window, and calls the office twice — once at 1:30 to ask if anyone is coming, and once at 3:10 to say they have to do a school run and could the tech possibly come after… and now your dispatcher is re-shuffling the afternoon while the tech sits in a driveway nobody answers.
The four-hour window exists because arrival times are genuinely hard to promise. But the window isn’t really the problem — the silence inside it is. Customers don’t need the tech at 1:00 sharp; they need to know whether to start a load of laundry.
Replace the window with a pin
When the tech finishes the previous job and heads over, they share a temporary location link — it lands in the customer’s texts, and it opens in any browser. No app, no account. The customer sees the van as a live pin with an honest, updating ETA: “ComfortAir — 18 min away.”
That one link deletes both phone calls. The “is anyone coming?” call is answered by the pin. The “I have to pop out” conflict surfaces early — the customer sees the tech is still 40 minutes out and texts the office before the van is in their street, while the schedule can still absorb it. And when the van does arrive, the gate is open, the dog is in, and the loft ladder is already down.
Techs will actually turn this on
HVAC techs, reasonably, hate being tracked. This isn’t tracking: the link starts when they head to the job, shows only that drive, and deletes itself when it ends. There is no history, no after-hours dot on a manager’s map, no “why were you at the bakery.” It’s the difference between wearing a uniform and wearing a tag.
For the office it’s one link per job — from the tech’s phone, or created automatically by your dispatch flow through the API with the job number attached. It works next to ServiceTitan, Jobber, or a paper day-sheet, because it doesn’t try to replace any of them.
